Approval Process for Authorized Pickup

This focused on improving the approval process for authorized student pick-ups within a student information module. The goal was to address inefficiencies and potential data issues during approval, ensuring a smoother, more reliable workflow for teachers while maintaining accurate guardian records.

Problem

During the approval of authorized pick-up requests, a workflow issue was identified that could lead to incorrect guardian–student associations. When a center staff approved a request, the system automatically linked an existing guardian profile based on a matching IC number, even when the request was intended for a different student. Instead of prompting for verification or creating a new profile, the system reused the existing record, resulting in inaccurate guardian information being added to the student’s profile.

This issue highlighted a gap between system logic and real-world use, increasing the risk of data inaccuracies and creating additional manual follow-up for staff.

Solution

A system prompt was introduced during the approval flow when a matching IC number is detected, preventing the system from automatically linking guardian profiles.

​

Teachers are prompted to confirm whether the pick-up person is the same guardian. If confirmed, the existing profile is linked; if not, teachers are guided to enter a different IC, triggering the creation of a new guardian profile.

​

This lightweight verification step reduces duplicate records, maintains data accuracy, and keeps the approval process efficient without adding unnecessary friction.
